About this policy

We look after your dog, and we take looking after your information just as seriously. This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), whether or not we are required to.

What we collect

From dog owners and clients:

  • Your name, phone number, email address and residential or billing address

  • Emergency contact details

  • Your dog's name, breed, age, sex, desexing status and microchip number

  • Your dog's health, medical, behavioural and temperament information, including allergies, medications, injuries, anxiety triggers and any history of aggression

  • Your vet's name and contact details

  • Booking, grooming and daycare history, including groomer notes and service preferences

  • Membership tier and status

  • Payment records (we do not store your full card details, see below)

  • Photographs and video of your dog, and occasionally of you if you appear in the background

  • Communications between us, including emails, SMS, calls, messages and reviews

From website visitors: IP address, browser and device type, pages viewed, referral source and cookie data.

From job applicants and staff: contact details, work history, qualifications, right to work information, tax and superannuation details, and records required to run payroll and meet employment obligations.

How we collect it

Mostly directly from you, when you book, fill in a client or dog profile form, sign a service agreement, email or message us, join the membership program, subscribe to our list, visit the salon, or use our website.

Sometimes we collect information from others, for example your vet (with your authority), a previous groomer or daycare, a family member booking on your behalf, or a person dropping off or collecting your dog.

Why we collect it and how we use it

  • To book, deliver and follow up on grooming, daycare and related services

  • To handle your dog safely, which is why medical and behavioural information matters to us

  • To contact you about a booking, or about your dog while they are in our care

  • To get veterinary help in an emergency

  • To take payment, run memberships and manage accounts

  • To keep records required by law, including tax, workplace and animal welfare obligations

  • To send you service updates and, where you have opted in, marketing

  • To improve our services, staff training and salon operations

  • To respond to complaints, incidents and insurance matters

We do not sell your personal information.

Photos and social media

We love showing off a good groom. We may photograph or film your dog in the salon and use those images on our website, social media accounts and marketing material.

We will ask for your consent to this when you set up your client profile, and you can withdraw it at any time by telling us. If you withdraw consent we will stop using new images and will remove existing ones from our own channels where we reasonably can. Content already shared or reposted by others may be outside our control.

We do not publish your name, your address or your contact details alongside images without your permission.

CCTV

We operate CCTV in and around the salon and daycare area for the safety of dogs, staff and clients, and for security. Cameras are located in [LIST AREAS]. Footage is stored securely, accessed only by authorised staff, and retained for approximately [NUMBER] days unless it is needed for an incident, insurance claim, complaint or legal matter.

Signage at the premises notifies you that recording is in progress. Separate arrangements and notices apply to our staff under the Workplace Surveillance Act 2005 (NSW).

Marketing and how to opt out

With your consent, we send service reminders, offers and news by email and SMS. Every marketing message includes an unsubscribe or opt out instruction, as required by the Spam Act 2003 (Cth). You can also opt out by replying to any message or contacting us directly.

Opting out of marketing does not stop essential service messages, such as booking confirmations, reminders, or a call about your dog while they are with us.

Who we share it with

We share personal information only where we need to:

  • Veterinary clinics and emergency vets, if your dog needs treatment or we have a welfare concern

  • Our booking and client management system, currently PetBoost

  • Our email and SMS platform, currently Klaviyo

  • Our website and hosting provider, currently Squarespace

  • Payment providers, who process card transactions

  • Our accounting and payroll systems, currently Xero

  • Analytics and advertising platforms, currently Google and Meta, in relation to website activity

  • Professional advisers, including our accountant, solicitor and insurer, where necessary

  • Government agencies, regulators or courts, where required or authorised by law

We take reasonable steps to ensure these providers protect your information.

Overseas disclosure

Some of the platforms above store information on servers outside Australia, including in the United States and the European Union. By using our services you consent to this disclosure. We take reasonable steps to use reputable providers with appropriate security practices, but we cannot guarantee that overseas recipients are subject to laws equivalent to the Privacy Act.

Payment information

Card payments are processed by our payment provider. We do not store complete card numbers or security codes on our systems. Where you set up recurring membership payments, those details are held by the payment provider under their own security standards.

Security and how long we keep information

We store information in secure, password protected systems with access limited to staff who need it. Paper records are kept securely on the premises. We train our team on handling client and dog information appropriately.

We keep records for as long as we need them for the purposes above and to meet legal obligations, generally seven years for financial and employment records. When information is no longer needed we destroy or de-identify it.

If we ever experience a data breach that is likely to cause you serious harm, we will notify you and, where applicable, the Office of the Australian Information Commissioner.

Cookies and website analytics

Our website uses cookies and similar technologies to make the site work, remember your preferences and understand how visitors use it. You can disable cookies in your browser settings, though parts of the site may not work as well. We also use advertising tools that may show you Dogs Only ads on other platforms based on your visit.

Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Contact us using the details below and we will respond within a reasonable time, usually 30 days.

There is no charge to make a request. In limited cases we may refuse access, for example where it would unreasonably affect someone else's privacy, and if so we will explain why in writing.

Complaints

If you think we have mishandled your personal information, please contact us first. We will acknowledge your complaint within [NUMBER] business days and aim to resolve it within 30 days.

Mobile Terms of Service

The Dogsonlygrooming mobile message service (the "Service") is operated by Dogsonlygrooming (“Dogsonlygrooming”, “we”, or “us”). Your use of the Service constitutes your agreement to these terms and conditions (“Mobile Terms”). We may modify or cancel the Service or any of its features without notice. To the extent permitted by applicable law, we may also modify these Mobile Terms at any time and your continued use of the Service following the effective date of any such changes shall constitute your acceptance of such changes.

By consenting to Dogsonlygrooming’s SMS/text messaging service, you agree to receive recurring SMS/text messages from and on behalf of Dogsonlygrooming through your wireless provider to the mobile number you provided, even if your mobile number is registered on any state or federal Do Not Call list. Text messages may be sent using an automatic telephone dialing system or other technology. Service-related messages may include updates, alerts, and information (e.g., order updates, account alerts, etc.). Promotional messages may include promotions, specials, and other marketing offers (e.g., cart reminders).

You understand that you do not have to sign up for this program in order to make any purchases, and your consent is not a condition of any purchase with Dogsonlygrooming. Your participation in this program is completely voluntary.

We do not charge for the Service, but you are responsible for all charges and fees associated with text messaging imposed by your wireless provider. Message frequency varies. Message and data rates may apply. Check your mobile plan and contact your wireless provider for details. You are solely responsible for all charges related to SMS/text messages, including charges from your wireless provider.

You may opt-out of the Service at any time. Text the single keyword command STOP to Dogsonly or click the unsubscribe link (where available) in any text message to cancel. You'll receive a one-time opt-out confirmation text message. No further messages will be sent to your mobile device, unless initiated by you. If you have subscribed to other Dogsonlygrooming mobile message programs and wish to cancel, except where applicable law requires otherwise, you will need to opt out separately from those programs by following the instructions provided in their respective mobile terms.

For Service support or assistance, text HELP to Dogsonly or email woof@dogsonlygrooming.com.au.

We may change any short code or telephone number we use to operate the Service at any time and will notify you of these changes. You acknowledge that any messages, including any STOP or HELP requests, you send to a short code or telephone number we have changed may not be received and we will not be responsible for honoring requests made in such messages.

The wireless carriers supported by the Service are not liable for delayed or undelivered messages. You agree to provide us with a valid mobile number. If you get a new mobile number, you will need to sign up for the program with your new number.

To the extent permitted by applicable law, you agree that we will not be liable for failed, delayed, or misdirected delivery of any information sent through the Service, any errors in such information, and/or any action you may or may not take in reliance on the information or Service.
